Electrical and Electronic Equipment Waste Disposal Services Vendor of Record Arrangement

January 17, 2025

Overview

Supply Ontario has established a new enterprise-wide Vendor of Record (VOR) Arrangement for Disposal Services for End-of-Life Electrical and Electronic Equipment (EEE) and Batteries (Tender-19816). This VOR arrangement has 6 vendors.

The VOR arrangement, which became effective on January 15, 2025, is for a term of five-years, with two optional one-year extensions. This VOR arrangement is mandatory for OPS ministries and agencies and is optionally available to non-OPS entities including municipalities, academic institutions, school boards, health care providers, and major transfer payment recipients.

OPS ministries and agencies will go through the mandatory central common service provided by the Electronic IT Surplus Assets Management of MPBSDP to access this VOR arrangement.

The VOR arrangement is to provide products, services, and personnel to collect, transport, store and dispose of electronic and electrical waste from various facilities throughout the Province of Ontario. The vendors must be able to collect, recycle or refurbish all EEE items include display devices, computers, network equipment, mobile devices, data and media storage devices, large equipment and electronic devices, batteries, and miscellaneous items. A client may also request for data clearing/wiping as part of their requirements. This data clearing/wiping service is an optional service which is not mandatory service under this VOR. The vendors must be able to provide the service in all defined geographic regions of Ontario.

Benefits

  • this VOR arrangement can potentially generate cost recovery to clients for EEE through recycling materials or resale of EEE
  • this VOR arrangement saves time, effort, and money by providing fast and streamlined access to electronic and electrical waste disposal services from multiple vendors with the necessary experience, qualifications, and infrastructure to support OPS requirements
  • the pre-qualified list of vendors can offer support to IT departments on data clearing/wiping of their devices while complying with the client required data security standards
  • the VOR arrangement ensures that electronic and electrical waste collection and disposal services meet industry standards and are in full conformity with Ontario Public Service (OPS) requirements.
  • leverage aggregation of spend to achieve savings and control costs
